Set Up Business Central Sales Order Agent: Step-by-Step Tutorial

Practical, click-by-click guide

Follow the numbered steps in a Business Central sandbox. Product labels vary by version and locale; official Microsoft pages are linked for verification.

Business Central agent architecture

Expected result

The Sales Order Agent processes controlled sample sales requests through a Microsoft 365 mailbox or the built-in Try it out function. Start in a sandbox without sending actual customer email. This is a specific built-in agent, not an unrestricted agent-building platform.

Step 1: Check version and availability

Open the Business Central sandbox and record environment, company and application version under Help & Support. Look for Copilot & agent capabilities. If Sales Order Agent is unavailable, confirm release, region, permissions and official documentation before proceeding.

Step 2: Prepare permissions

Creating an agent instance requires Configure All Agents (system permission 9665), available through AGENT – ADMIN. Working on tasks requires Manage Agent Tasks (9670) and access to the specific agent. Only administrators need Can Configure. Do not grant SUPER to hide missing permissions.

Step 3: Prepare a test mailbox

Use an organizational Microsoft 365 mailbox or supported shared mailbox. Shared mailbox access may require Full Access and Send As. Avoid real customer addresses during early testing. Do not treat a consumer Outlook.com mailbox as an interchangeable alternative.

Step 4: Add sandbox records

Create a fictional customer and at least two test items. Assign a valid test contact and verify item numbers, prices and availability. Later create ambiguous or missing item references to test the agent’s judgment.

Step 5: Enable the feature

In Copilot & agent capabilities, enable Sales Order Agent if available. From the role center select the Sales Order Agent icon and Activate. Review the Active setting on the setup page. Set language, region and time zone as offered by your release.

Step 6: Configure mailbox and users

Choose the intended Microsoft 365 mailbox and relevant folder. In Manage user access add the test operator. Enable Can Configure only for administrators, and review the agent account’s data permission sets separately.

Guten Tag,
bitte erstellen Sie ein Angebot für
2 Stück Artikel DEMO-100.
Vielen Dank.

Step 7: Test without sending email

On the agent setup page open Try it out → Create task. Select a test sender, enter a sample request such as ‚Please quote 2 units of item DEMO-100‘, and choose Create. Use the sample messages if the feature offers them.

Step 8: Inspect execution

Open the generated agent task and inspect customer identification, item selection, quantities, availability and any draft output. Review proposed actions before confirmation. Record successful, pending, rejected and failed states.

Step 9: Test negative cases

Repeat with unknown item numbers, duplicate descriptions, unrecognized customers and invalid quantities. Verify that the agent asks for clarification or escalates instead of inventing values. Try task access with an unprivileged user.

Step 10: Fix permissions carefully

Search for Agents, open the corresponding instance and deactivate it before editing permission sets. Assign the smallest additional set through Edit Agent Permissions, reactivate and repeat the failed task. Document the precise missing permission.

Step 11: Prepare production

Before connecting a live mailbox, review allowed recipients, email signatures, approval points and responsibilities. Track Copilot Credit usage and the behavior when credits are depleted. Sandbox task success does not guarantee secure production mail handling.

Step 12: Record evidence

Keep setup screenshots, version, access lists, mailbox configuration, tests and task logs. Payables Agent is a different built-in agent with a separate invoice-processing setup and should not be configured by blindly copying Sales Order Agent steps.

Checklist before moving beyond sandbox

  • Record the exact BC version and supported feature state
  • Run expected-success and expected-failure tasks
  • Verify least-privilege rights with another test user
  • Review data privacy and approval rules
  • Document log review, disabling and recovery
